    Is Your QuickBooks File Too Big? - Part 1


    Do you feel like you've aged another year waiting for some of your QuickBooks reports to run? Is the performance of your QuickBooks file getting worse? If so, you may be a good candidate for creating a new QuickBooks company file.
    First of all, the performance of your QuickBooks data file (and the QuickBooks software as well) is dependent on the horsepower provided by both your computer and the network environment you are in (for those of you with multiple users). It is safe to say that if your computers are 4 years old or more, they may be part of the reason your performance is suffering and an upgrade to these critical components may be in order.
    But, what if your equipment is newer, and your performance is still poor? Then it's time to take a look at just how big your QuickBooks data file actually is.
    This task is quite simple - just tap the F2key on your keyboard (this key is found above the row of numbers at the top), and focus on the line within the window that opens that says "File Size". This will tell you exactly how big your QuickBooks file is.
    While there are no hard and fast rules that I know of regarding file sizes, here are some "rules of thumb" that I have come to understand - with QuickBooks Pro and Premier, any file size greater than 125000 puts you in what I call the "red zone".
    Generally speaking, you want your Pro or Premier file to be LESS than 125000. If it is bigger, that doesn't mean QuickBooks will stop working. It does increase the potential for experiencing various technical problems (i.e. random freezes, potential data corruption,etc.) as you continue to work with it. In addition, you will also start to see it take longer to create various reports in QuickBooks as well.
    Now that you have identified the size of your file, what should you do if it is greater than the suggested limit of 125000? Stay tuned for next months issue for more insight on that.

    QuickBooks Tip of the Month


    Q: Can I print out a copy of the "record deposit" screen so that I know what checks were included in my bank deposit?
    A: Indeed you can! You can even have QuickBooks print your deposit slip for you!
    When you are in the "record deposits" screen and have balanced out your bank deposit, don't hit "save anc close" just yet. Instead, click the little upside down triangle to the right of the "Print" button at the top of the "record deposits" window.
    Once there, you will see that you have the option to print either a deposit slip OR a deposit summary. Printing this deposit summary and attaching it to your bank deposit slip is a perfect way to keep your deposit records in order and allow you to quickly see the details of any deposit - no guesswork involved trying to read the carbon copy of a deposit slip!
