    List Improvements!



    As you know, the various lists (i.e. customers, vendors, items, etc.) within QuickBooks are the main building blocks for various transactions. The 2005 QuickBooks product line made these lists even easier to work with!

    Using the customer list as an example, you can now adjust the widths of the columns appearing in the list with just a mouse click. Want to make the "name" column of the customer list smaller? No problem. Just click at the very end of the column heading "Name", and watch the mouse pointer turn into a double- headed arrow. From here, you can click and drag to make the column wider or smaller.

    Even better, if you click the "Customer:Job" button in the lower left hand corner of the Customer list, you'll now see a "Customize Columns" option. Click this, and you now have the ability to add or remove columns in a snap. If you'd rather not see the "Estimate Total" or "Job Status" columns in your customer list, you can easily remove them, and replace them with something else, like the terms or e- mail address for that customer.

    These 2005 features are available in ANY QuickBooks list, not just the customer list. In just a few minutes, you can customize these lists to help you work even more efficiently with QuickBooks every day.

    QuickBooks 2002 Sunset



    Currently use QuickBooks 2002 (or an older version)? If so, be aware of the plan to discontinue support for the 2002 edition on April 30, 2005. After that date, you'll no longer be able to obtain support from QuickBooks for any problems you are experiencing. You'll need to upgrade at that time, which could be a royal pain. You'll already have one problem if you're calling tech support, and now they'll give you another.

    Be aware of the additional implications of this "sunset" provision as detailed on the QuickBooks web site:

    "Replacement CDs, diskettes, and manuals will no longer be available for Sunset versions of QuickBooks. Intuit provides customer support regarding registration and keycode data for Sunset versions of QuickBooks under Intuit's standard terms and conditions, if that data is available. However, Intuit cannot assure that it will be able to register, provide keycodes, or offer data and password recovery for Sunset versions of QuickBooks. For these reasons, we strongly recommend that customers use supported versions of the software."

    How Do I?



    Question #1: Can I send statements to a single customer and/or multiple customers without sending to all of them?

    A: Yes, you can send QuickBooks statements in either fashion. In order to send statements, click on Customers in the menu bar, then "Create Statements". On the next window that appears, you'll see a number of options.

    To send a statement to a single customer, put a "dot" in the "One Customer" option (in the 2005 version), and then select the customer from the list that appears. For multiple customers, put the "dot" in the "Multiple Customers" option, then click on each customer that should receive a statement.

    Question #2: Can I remove $0 balances from my profit and loss and balance sheet reports?

    A: Here's how to solve this problem. When you run either of these reports, you'll see a "Modify Report" button in the upper left hand corner of the report window. Click this, and then click the "Fonts and Numbers" tab. Put a check mark in the "Except Zero Amounts" option, then click OK (you may have to refresh your report at this time). You will see that all zero balance entries have been eliminated from these reports.

    Computing Tip!

    Here's an easy way to get it done - open up your favorite word processor, then minimize it so it's out of the way. Return to the program where you'd like to print the screen, then tap the ALT + Print Screen keys on your keyboard. Return to your word processor, then click Edit, then Paste. An image of your screen will now appear!
