Merging Names? |

So you have names on your "Other Names" list
that you would like to reclassify to another list in
QuickBooks? There is a simple way to do just that...
QuickBooks allows you to keep track of four different
types of names - customer, vendor, employee
and "other". In many cases, you tell QuickBooks to
classify a name as "other" when adding it to a check
or bill because you don't think they are a vendor (or
you are in a hurry and choose the wrong type of name).
But let's say that you really do have someone in
the "Other Names" list that needs to be moved to the
Vendor List. Here is how you can easily move
them to another list:
- Click Lists in the menu bar, then Other Names
list
- Click the name that needs to be moved to another
list
- RIGHT click on the name, and then LEFT
click "Change Other Names Type"
Once there, you will see a checklist with columns for
customer, vendor, and employee. Simply check the
type of name you want this to be, and then click OK.
Be aware that once you re-classify a name
from the "Other Names" list to another list, the
action cannot be undone.

Reporting 101 - Income and Expense Graph |

It has been said that a picture can be worth a
thousand words. When dealing with your blizzard of
accounting data, this adage holds very true.
In the QuickBooks Report Center under Company and
Financial Reports, you will find one titled "Income and
Expense Graph". Click that option, and you will
instantly be presented with a pictorial view of your
income and expenses in both bar and pie chart
formats.
Note the various options across the top of this report -
you can change the date range, display it by account
(most recommended) or other options, and print it. In
addition, you can hover over any section of the graph
and double-click on it to take you one step further into
the details. Keep double-clicking, and you will get all
the way down to the source of the data (example:
invoice, check or bill).
The Income and Expense Graph is a wonderful report
to help visualize the financial results of your business.

Q: I want to use account numbers in QuickBooks.
How can I do that?
A: I get this question frequently. By default,
QuickBooks has the preference to use account
numbers turned off. However, turning on this
preference is a snap.
In the menu bar, click Edit, then Preferences, then
Accounting, then Company Preferences. Put a check
mark to select the "use account number" option on
this screen, then click OK. Return to your chart of
accounts, and you will now see a field ready and
waiting to assign an account number. QuickBooks
provides you up to seven spaces for this number - it
can contain all numbers or a combination of numbers,
letters or other characters.

Yes, I am crazy and doing it again this year...
During the weekend of August 18-19, I will be riding
my bike (no, not a Harley...the kind with the
pedals) 150 miles to raise funds and awareness for
the battle against Multiple
Sclerosis (MS).
