    Save Time at Month-End



    Is this your typical month-end process...run a profit and loss, print it out, run a balance sheet, print it out, run a sales report or two, then print them out? If you print a lot of reports at the end of a month (or quarter), the "process multiple reports" option in QuickBooks is sure to be of interest to you.

    If you click on Reports in the menu bar, then "Process Multiple Reports", you'll discover this handy tool. Here, you'll see a window that says "Select Memorized Reports from" with a drop down box that shows the various report groups in your QuickBooks file.

    For example, if you choose the "Company" group, you'll see several familiar reports already listed there. You can change the date range of any report listed by clicking directly in the "From" and "To" fields, then check mark the ones you want to display or print. >From there, QuickBooks takes care of the rest - all of the reports you have chosen will either show up on your screen or your printer.

    To add or change the way your memorized reports are set up, click on "Reports", then "Memorized Reports", then "Memorized Reports" list. From here, you'll be able to rearrange groups, add groups, and put everything in good order to maximize your use of the "Process Multiple Reports" tool.

    How Do I?



    Question #1: How do I add my company logo to my invoices, purchase orders, and other forms?

    A: You can customize your forms (and lower your printing bills) by having QuickBooks include your logo as a function of the Templates tool. Click on Lists, then Templates. Choose the template of choice (i.e. Custom Invoice), then click the "Company" tab in the next window that appears. Here, you will see a "logo" section and a browse button. Browse to locate where your logo graphics file is located and click Save to include it in this template. Repeat the process for other templates. NOTE: Your logo must be in BMP (bitmap) format to work. Your logo designer can help you get it into the right format if it isn't already there.



    Question #2: How do I add a previous year or year to date comparison on my QuickBooks profit and loss statement?

    A: With just a couple of mouse clicks, you can include this important data. Click on Reports, then Company and Financial, then Profit and Loss Standard. Run the report for the dates you like, then click on the Modify Report button. Look for the section on the "Display" tab that says "Add Subcolumns for" and put a check mark in "Previous Year" or "Year to Date" as you choose. Click on "OK", and see how your report became even more meaningful!

    Computing Tip!



    Microsoft Excel, Word or Outlook acting goofy on you?

    Take advantage of the "Detect and Repair" tool included in each of these software packages. Click on "Help" then "Detect and Repair" (you may have to click on the double arrows at the bottom of the list so that you can see all the available options).

    >From here, the software will try to repair itself. You may be asked for the Office CD during this process in case the "Detect and Repair" needs any files, so keep it handy. This is a great tool to help with many of the "odd" things that can sometimes happen in these programs.

    Crazy Man Update - We Did It!



    Know anyone who sells windshield wipers for eyeglasses? Boy did we need them for the ride this year! (more on that in just a moment)...

    First and foremost, I'd like to thank each and every one of you who so generously contributed to the National Multiple Sclerosis Society Pedal to the Point bicycling event this year! It is truly very touching to receive cards, letters and notes of encouragement from you. Several readers even shared stories of someone you know that is fighting MS right now.

    With your help, we blasted through my goal of $1,500 for this year! The final tally is not quite complete, but it looks like my pledge sheet will show a total of over $2,200 toward this years event.

    Collectively, there were about 2,000 bike riders in the event this year, and our goal was to break $1 million in funds raised, just like we did last year.

    As for the weather, it was perfect for the ride back on Sunday. 75 degrees, sun and a slight tailwind made for superb riding conditions. Unfortunately, I can't say the same for Saturday. My group hit a pretty good thunderstorm about the 50 mile mark and it hung around for about 10 miles or so. After that, we were completely drenched! It did feel good though when the sun came back out a little later in the day.

    Again, thanks to all of you for your support. Watch for the crazy man to ride again in 2006.
